Outlook Calendar Category Rules
One of the primary reasons using outlook categories is faster than using lots of topic named folders is that you can auto categorize incoming mail very easily using outlook rules these menu created rules automatically assign categories to incoming e mail based on sender or subject line or keyword in the e mail and so save a huge amount of filing time.

Choose categorize all categories. From there you can view additional categories not shown on the right click menu or create and assign new color. If outlook is going to the trouble of having the front end of a filter the if then why not have the back end of the filter then and allow the item to be assigned to an actual category not just a useless color.
Add new color category. The same categories list is used for all outlook items including email messages tasks and contacts. Go to settings and select view all outlook settings.
In the name your rule text box enter a name for the rule. For example all the appointments with a word training in the subject line will be turned blue and all the appointments with words sales meeting will be turned green and so on. For many outlook users they tend to categorize their calendar appointments with different colors.
On the home tab click rules in the move group and then choose create rule. Wow that was easy but it doesn t put the item into a category it just formats the color. Right click the message in the email list.
Categories only apply to items in your calendar. Type a name for the new color and select a color from the menu. Select the add a condition dropdown arrow and choose the condition you want to use to assign a category.
